How to Check In Attendees at Events: Step-by-Step Guide
Fast event check-in comes down to six things: a clean attendee list, QR codes, the right number of stations, offline reliability, on-demand badging, and live monitoring. Here's exactly how to do each.
The 6-step playbook
- Import your attendee list. Export a CSV from your registration tool and upload it. Field-mapping is automatic — first name, last name, email, ticket type, company.
- Generate QR codes. Send each attendee an email with a unique QR code 24 hours before the event. They show this on arrival to check in instantly.
- Set up check-in stations. Place 1 iPad station per ~250 expected attendees. Add a self-service kiosk lane for fastest throughput.
- Run the event in offline mode. Pre-cache the attendee list before doors open. Even if WiFi drops, check-ins continue and sync when restored.
- Print badges on demand. Connect a Brother label printer via PrintNode. Badges print the moment a check-in completes — never before.
- Monitor in real time. Watch live check-in counts, anomalies, and bottlenecks from the operator dashboard. Adjust station staffing on the fly.
